How to Use AI in Excel: Formulas, Analysis and Reports

Excel and Google Sheets are where most businesses keep their numbers. AI makes them far easier to use: you can describe what you want in plain English and get the formula, the steps, or even the analysis itself.

1. Write formulas in plain English

Describe your columns and what you need:

“My data has Date in column A, Region in D and Total in G. Give me a formula for total sales in Ahmedabad in March 2026.”

A typical answer uses SUMIFS with date conditions. Ask the AI to explain each part so you learn as you go.

2. Understand any formula

Inherited a spreadsheet full of complicated formulas? Paste one and ask: “Explain this formula step by step in simple words.”

3. Clean messy data

  • Remove extra spaces: =TRIM(A2)
  • Fix capitalisation: =PROPER(A2)
  • Split full names, combine columns, standardise dates — ask AI for the exact formula or steps.

4. Build pivot tables and charts

Ask for step-by-step instructions for your version of Excel or Sheets, and which chart type best shows your question: line charts for trends, bar charts for comparisons.

5. Find insights

Share a summary table (or an upload, if allowed) and ask: “What are the three most important trends here, and what might explain them?” Treat the answer as a starting point for your own thinking.

6. Turn analysis into a report

Ask AI to write a one-page summary with key numbers, trends and recommended actions — ready to share with your team.

Frequently asked questions

Can AI read my Excel file directly?

Many AI assistants can analyse uploaded spreadsheets, and office apps increasingly include built-in AI features. Check what your tool supports and your organisation’s policy before uploading business data.

Are AI-generated formulas always correct?

No. Always test a formula on a few rows where you know the correct answer. If the result is wrong, tell the AI exactly what went wrong and ask it to fix the formula.
