What you will learn

  • Find tasks that are worth automating
  • Understand triggers, actions and conditions
  • Design a simple AI-assisted workflow

Automation means letting software do a task without you doing it by hand every time. When you add AI, the automation can also read, write, summarise and make simple decisions.

The three building blocks

  • Trigger — what starts the workflow. A new form submission, a new email, a time of day.
  • Action — what happens. Add a row to a sheet, send a message, create a document.
  • Condition — rules in between. Only if the order value is above ₹5,000.

Example: handling website enquiries

  1. Trigger: someone submits the contact form.
  2. AI step: classify the enquiry (course, business service, support) and draft a reply.
  3. Action: save it in a Google Sheet with the category.
  4. Action: notify the right person on email or chat with the draft reply to approve.

What to automate first

Saving form entries to a sheetRefunds and payments
Daily sales summaryLegal or medical replies
Reminder messagesComplaints from upset customers

Keep a human in the loop

For anything customer-facing, start with AI drafting and a person approving. Once results are consistently good, you can automate more.

Step by step

  1. 1

    List repeat tasks

Write every task you repeat each week and how long it takes.

  2. 2

    Pick one

Choose a task that is frequent, rule-based and low-risk if a mistake happens.

  3. 3

    Map the flow

Write it as: When [trigger] happens → do [action] → then [action].

  4. 4

    Build and test

Use an automation platform (such as Zapier, Make or n8n) to connect your apps. Test with sample data first.

  5. 5

    Measure

Compare time spent before and after for two weeks.
